Job Description
We are seeking a highly organized and efficient Personal Secretary to provide comprehensive administrative and secretarial support to our Managing Director. The ideal candidate will possess strong communication and interpersonal skills, along with a solid background in finance, preferably holding an MBA in Finance or a PhD in Management. This role requires a professional who can effectively manage the MD’s schedule, handle confidential information with discretion, and facilitate smooth communication both internally and externally.
Role And Responsibilities
- Manage the Managing Director's calendar, appointments, and travel arrangements efficiently.
- Act as the primary point of contact for the MD, screening and prioritizing incoming communications, including emails, phone calls, and mail.
- Prepare and edit correspondence, reports, presentations, and other documents as required.
- Coordinate and facilitate meetings, conferences, and events, ensuring all necessary arrangements are made.
- Conduct research and compile data to support decision-making and facilitate effective communication.
- Handle confidential information with discretion and maintain strict confidentiality at all times.
- Liaise with internal and external stakeholders on behalf of the MD, maintaining positive relationships and ensuring clear communication.
- Assist in the preparation of financial reports, budgets, and presentations, utilizing expertise in finance.
- Perform general administrative tasks such as filing, photocopying, and organizing documents.
- Anticipate the MD's Professional needs and proactively provide support to enhance efficiency and productivity.
Qualification
- Bachelor's degree in Business Administration, Finance, or a related field; MBA in Finance preferred.
- PhD in Finance or relevant discipline is highly desirable.
- Minimum of 5 years of experience in a similar role, preferably in a finance-related industry.
- Excellent communication skills, both verbal and written, with the ability to interact effectively with individuals at all levels.
- Strong interpersonal skills, with the ability to build and maintain positive relationships.
- Exceptional organizational and time-management abilities, with keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Flexibility and adaptability to handle changing priorities and work under pressure.
- Proactive attitude with a willingness to take initiative and solve problems independently.

- Experience working in a senior executive support role.
- Familiarity with financial concepts, terminology, and reporting processes.
